Write down the tasks that must work on day one. Ask vendors to demonstrate them with representative data, including awkward cases and exports.
Put it into practice
Compare integration, migration, support and exit costs across both options. If the decision is still unclear, pilot the riskiest workflow before committing to a full build. Include a user with a different access role and someone who uses a keyboard or screen reader. Ask the team to recover from an incorrect entry, retry an interrupted action and export its own records. These ordinary tasks expose gaps that a polished demonstration can hide. Record the ongoing ownership of hosting, security updates, support and documentation. A purchasing decision is stronger when the team understands how the system will be operated after delivery.
